Participation Terms and Conditions for WORKsHOW 2025 Conference

An International Conference on Flexible Work Models.

§1. GENERAL PROVISIONS

  1. These Terms and Conditions define the participation requirements for the WORKsHOW2025 Conference, an international event on flexible work models, organized by Sprintech Learning Sp. z o.o., with its registered office in Warsaw, 05-077, ul. Szklarniowa 5c, Tax ID (NIP) 7010160393, Business ID (REGON) 141674775, registered in the National Court Register maintained by the District Court for the Capital City of Warsaw, Commercial Division XIV, under KRS No. 0000319088.
  2. The conference will be held online on January 15, 2025, and will be broadcast via the Internet. Access to the broadcast will be available after prior registration on the website http://workshow2025.pl/.
  3. In the event of any inability to hold the conference, the Organizer reserves the right to reschedule the event, modify these Terms and Conditions, or cancel the conference as per the provisions of these Terms and Conditions.
  4. Unless specified otherwise in these Terms and Conditions, all conference participants are bound by them. In case of doubt, a participant is considered anyone who has expressed an intent to attend the conference and completed registration.
  5. Participation is restricted to individuals of legal adult age. If an individual under the age of 18 participates, their legal guardian is responsible for ensuring adherence to the Terms and Conditions.
  6. The Privacy Policy defines the method of data processing and is attached as Appendix No. 1 to these Terms and Conditions.

§2. DEFINITIONS

For the purpose of these Terms and Conditions, the following definitions apply:

  1. Terms and Conditions – This document containing the rules and requirements for participation in the conference, available at http://workshow2025.pl/.
  2. Organizer – Sprintech Learning Sp. z o.o., with its registered office in Warsaw, 05-077, ul. Szklarniowa 5c, Tax ID (NIP) 7010160393, Business ID (REGON) 141674775, registered in the National Court Register maintained by the District Court for the Capital City of Warsaw, Commercial Division XIV, under KRS No. 0000319088.
  3. Conference – The event organized by the Organizer titled: WORKsHOW 2025, an international conference on flexible work models.
  4. Registration – The submission of an individual’s intent to participate in the conference by completing the Registration Form.
  5. Registration Form – The form available on http://workshow2025.pl/ used to complete registration.
  6. Registration Confirmation – A confirmation message sent by the Organizer to the email address provided by the participant during registration, confirming their registration.
  7. Participant – The individual identified in the Registration Form.
  8. Sending Entity – The entity entering into an agreement with the Organizer for a participant’s attendance at the conference.
  9. System – The reservation system used by the Organizer to manage the conference.

§ 3. REGISTRATION

  1. Participation in the Conference requires registration through the Registration Form available on the Conference website at http://workshow2025.pl/ and payment of the conference fee.
  2. To register, the participant must complete and submit the Registration Form on the website.
  3. Participants must provide an email address in the Registration Form, to which an individual link to the online conference broadcast will be sent no later than January 14, 2025, one day before the conference. Participants are responsible for ensuring the accuracy of the email address provided.
  4. Registration may also be completed by a Sending Entity, which enters into an agreement in its own name for the benefit of the participants it designates during registration. The Sending Entity is responsible for paying conference fees according to the registration scope for all participants it registers and ensuring compliance with these Terms and Conditions. The Sending Entity also undertakes to inform registered participants of the Terms and Conditions and any other relevant arrangements.
  5. Registrations not paid within five days of submission may be canceled by the Organizer, and participation in the conference would then require re-registration.
  6. The System provides a service that stores the participant's registration data in a database and manages this registration (including collecting, recording, storing, updating, supplementing, and deleting the data) by the Organizer.
  7. Each participant will receive a certificate of attendance. The participant authorizes the Organizer to send the certificate electronically to the email address provided during registration.
  8. The Organizer reserves the right to deny registration if the conference participant limit is reached.
  9. Registration, browsing the website, and attending the online conference require an Internet connection via a personal computer or mobile devices with access to the following browsers:
    a. Mozilla Firefox, version 70 or higher,
    b. Google Chrome, version 70 or higher,
    c. Safari, version 12 or higher,
    d. Opera, version 66 or higher.
  10. Registration for the Conference constitutes the Participant's acceptance of the provisions of these Terms and Conditions..

§ 4. CONFERENCE PARTICIPATION RULES

  1. The detailed agenda for the Conference is available on the website http://workshow2025.pl/.
  2. The Organizer establishes the conference program and reserves the right to make changes to it, even on the day of the event, including adjustments to the timing and order of presentations. Any changes to the agenda or conference structure will be communicated to participants promptly via an updated agenda on the website.
  3. The Organizer also reserves the right to cancel, shorten, or reschedule the conference in the event of force majeure that prevents the conference or if regulatory changes create such risk. In such cases, as permitted by law and subject to these Terms and Conditions or a separate agreement, the Organizer is not liable for any losses participants may incur due to cancellations or rescheduling.
  4. The Organizer is not responsible for any technical or organizational issues experienced by Participants due to factors beyond its control, including the functionality of Participants' internet connections.
  5. Participants are fully responsible for all materials and information they present during the Conference. They must ensure that all statements and presentations do not violate legal regulations or infringe upon the rights or personal interests of third parties.
  6. Participants are obligated to comply with these Terms and Conditions, social norms, and any organizational and technical instructions provided by the Organizer.
  7. To participate in the online Conference, participants must have a computer, smartphone, or tablet with internet access, a built-in or external microphone, and optionally, a webcam. The Organizer recommends the following technical setup for optimal participation:
    a. Use of a headset with a microphone (rather than a laptop’s built-in microphone).
    b. Internet connection of at least 20/20 Mbps, preferably Ethernet (wired); the Organizer notes that Wi-Fi connections are less stable and may impact audio quality.
    c. Technical support will be available during the Conference, and all inquiries should be directed to the Organizer via email at support@workshow2025.pl.
  8. Participants are required to identify themselves by providing their full name and optionally any academic titles when joining the Conference.
  9. Participants must provide accurate, identifiable personal information.
  10. Participants agree not to share the conference access link with anyone who is not a registered participant.
  11. Participants may ask questions to the speakers only during the designated time. Permission for passive participants to speak during discussions will be at the discretion of the event moderator.
  12. The Organizer emphasizes the importance of respecting intellectual property rights in any materials provided to Participants. Participants agree to use these materials solely for personal use. Any modification, copying, distribution, public display, or commercial use of the materials requires prior written consent from the Organizer or another authorized entity.
  13. Participants bear full responsibility for any damages caused by behavior that violates the above stipulation.
  14. Subject to the provisions of these Terms and Conditions or separate agreements and to the extent permitted by law, the Organizer is not liable for any damages incurred by Conference Participants in connection with participation or withdrawal, particularly for any inability to attend the Conference due to force majeure or reasons attributable to the Participant.
  15. Participants agree to respect the established rules and agenda of the Conference and to refrain from disrupting the event or attempting to influence changes to its program. The Organizer has the right to exclude any Participant who violates these Terms and Conditions, particularly if the Participant:
    a. disrupts the proceedings of the Conference;
    b. engages in unlawful or improper behavior or acts against the legitimate interests of third parties;
    c. attempts to circumvent or shows intent to circumvent these Terms and Conditions or event rules;
    d. engages in actions that harm the Organizer's legitimate interests or damage its reputation.

§5. PAYMENTS

  1. Participation in the Conference is subject to a fee. The fee structure and services offered within each package are detailed on the website http://workshow2025.pl/.
  2. Payments can be made via bank transfer, Przelewy24 quick payments, credit card through Stripe, or based on a pro forma invoice sent to the email address provided in the registration form.
  3. For bank transfers, payment should be made to account number 60 1140 2004 0000 3702 7735 6375, with the Participant's full name as the payment reference.
  4. Terms of participation, pricing for individual components, or discounts are specified during the registration process.
  5. The price includes online participation in the Conference, access to video recordings until April 15, 2025, and a certificate, which will be available after the Conference concludes.
  6. Prices listed on the Conference website are net amounts (excluding VAT).
  7. For additional questions, please contact the designated person(s) listed on the registration page.
  8. If a Participant requires a VAT invoice, they must request it during registration and provide the recipient's VAT identification number.
  9. Upon payment confirmation, the Participant will receive a Registration Confirmation at the email address provided during registration, serving as the sole proof of completed registration.
  10. Participants are entitled to withdraw from the contract within 14 days of purchase, but no later than three days before the Conference, i.e., by January 12, 2025. Requests for withdrawal should be emailed to office@sprin.tech.
  11. Participant absence at the Conference does not constitute withdrawal, and no refund of fees will be granted.

§6 LIABILITY

  1. The Organizer states that the content provided during the Conference is for educational purposes only. The Organizer is not liable for any damages incurred by Participants or third parties resulting from the use of information, knowledge, or skills acquired during the Conference.
  2. In the event that the Conference is canceled for reasons solely attributable to the Organizer, the Organizer will promptly inform the Participants of this fact.
  3. The Organizer reserves the right to make changes to the Conference program, change speakers, and cancel the Conference in case of unforeseen events beyond the Organizer's control. If the Conference is canceled, Participants will be notified, and any fees paid for participation will be refunded via bank transfer.

§ 7. USE OF IMAGE, VOICE, AND STATEMENTS

  1. The Organizer declares, and the Participant agrees, that the Conference will be recorded in audiovisual format and/or through photographs, and these works will be used for broadcast purposes in mass media (television, radio, Internet, press, etc.) or for documentation, promotion, and advertising of the Organizer and other individuals designated by the Organizer, as well as the Conference itself (commercial use).
  2. The Participant authorizes the Organizer to use their image and/or voice and statements (if provided during discussions and/or on camera) and to disseminate them as part of the aforementioned works for the purposes mentioned. This includes:
    a. Recording on any audiovisual medium (on video, photosensitive tape, magnetic tape, computer disk, multimedia network including the Internet), as stated in paragraph 1 above, granting an exclusive and non-remunerative agreement, with no time or territorial restrictions, for their use by the Organizer and any entities authorized by the Organizer in various fields of exploitation of the works, including:
    b. Duplication by any technique,
    c. Public display, playback, broadcasting, and re-broadcasting,
    d. Lending, renting, or loaning the media on which the image, voice, or statements are recorded,
    e. Introduction into computer memory and multimedia networks,
    f. Use on various websites (including the Organizer's website).
  3. By enabling the camera and/or microphone on their device during the Conference, the online Participant agrees to the free dissemination of their image and voice by the Organizer in connection with the conducted Conference.
  4. Participants who do not wish for their image and/or voice to be disseminated during the Conference must disable their camera and/or microphone on their device. Participants who choose to enable their camera/microphone can ask questions to the speakers directly during the Conference or communicate via chat, while Participants with disabled cameras and microphones may only ask questions via chat.
  5. The Participant agrees to the processing of their personal data by Sprintech Learning Sp. z o.o. related to the recording and free public dissemination of their image and statements captured during the Conference, including labeling their statements with their name, and placing recordings of their statements on the Conference's websites and social media for promotional, educational, and awareness-raising purposes regarding the four-day work week.
  6. The Conference Participant grants Sprintech Learning Sp. z o.o. a non-exclusive and free license to use their statements captured during the Conference, including labeling their statements with their name, for the following fields of exploitation:
    a. In terms of recording and duplication – production and recording by all techniques, including but not limited to magnetic recording, photosensitive, audiovisual, digital, optical, and computer techniques, regardless of format and medium, size, form, and technique;
    b. In terms of dissemination – public display, playback, and also public availability in such a way that anyone can access it at a place and time of their choosing, including via the Internet and other telecommunication, multimedia, and computer networks, especially on the website. In connection with the granting of the license, the Participant assures that the use of their statements in the manner presented will not infringe on any rights, particularly intellectual property rights, and does not require obtaining any permission from a third party.

§ 8 DATA PROTECTION

  1. In accordance with Article 13(1) and (2) of the Regulation of the European Parliament and of the Council (EU) 2016/679 of April 27, 2016, on the protection of natural persons in relation to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, hereinafter referred to as "GDPR"), we inform you that:
  2. The data controller is Sprintech Learning Sp. z o.o. based in Warsaw, 05-077, ul. Szklarniowa 5c, NIP 7010160393, REGON 141674775, entered into the register of associations of the National Court Register maintained by the District Court for the capital city of Warsaw in Warsaw, XIV Economic Division of the National Court Register, under KRS number 0000319088.
  3. In any case, you can contact the Controller at the above correspondence address or at office@sprin.tech.
  4. Personal data including: first name(s) and last name, email address, phone number, position, and name of the company/organization will be processed for the following purposes:
    Registration of participation and organization and conduct of the Conference, communicating with Participants regarding the Conference, documenting its course, including preparing a list of Participants, issuing certificates of participation;
    Receiving information about future conferences and events with a business-educational profile at the email address provided in the application.
  5. Personal data will be processed based on:
    a. Article 6(1)(b) GDPR - for the purpose of organizing the event, including, in particular, the registration of conference participants (including speakers);
    b. Article 6(1)(c) GDPR - to fulfill legal obligations arising from tax regulations (in particular, the Tax Ordinance) and accounting regulations (Accounting Act);
    c. Article 6(1)(f) GDPR - to realize our legitimate interest, consisting of promoting the Conference or our activities, including through the publication of photos and recordings from the conference and for statistical purposes;
    d. Article 6(1)(f) GDPR - to realize our legitimate interest, consisting of direct marketing of our products and services, to the extent resulting from the content of granted consents for communication;
    e. Article 6(1)(f) GDPR - to realize our legitimate interest, consisting of direct marketing of our products and services, to the extent resulting from the content of granted consents for communication;
    f. Article 6(1)(a) GDPR - for the purpose of processing the image of Conference Participants based on separately granted consent
  6. In situations where the processing of personal data is based on granted consent, you have the right to withdraw consent at any time without affecting the lawfulness of processing carried out before the withdrawal of consent.
  7. Personal data may be shared with entities carrying out the Conference and other entities entitled under applicable law and relevant agreements concluded with the Organizer. Your personal data (in the form of recorded image) may also be processed by providers: platform, YouTube service from Google LLC, and Facebook service from Facebook, Inc., in their data processing centers, relevant authorities, or third parties who submit a request for such information based on an appropriate legal basis and in accordance with applicable law, as well as other entities cooperating with us in executing the contract, whereby such recipients may include postal or courier service providers, entities providing legal advisory services, and debt collection services.
  8. Personal data will be stored for the period necessary to achieve the purpose mentioned above, during the period of storing financial and accounting documentation of the Conference by the Organizer. In situations provided for by law, personal data may also be processed for the period necessary to establish and pursue any claims. If consent is granted for the use of the image or for receiving information, personal data will be stored until the consent is withdrawn.
  9. You have the right to:
    a. request access to your personal data, including information on their processing (Article 15 GDPR);
    b. rectify or complete data if they are inaccurate or incomplete (Article 16 GDPR);
    c. request the deletion of data (the right to be forgotten), if there are no grounds for processing them or consent for processing has been withdrawn (Article 17 GDPR);
    d. request the restriction of processing if they are inaccurate, unnecessary, processed without a legal basis, or you have raised an objection to processing based on the legitimate interest of the controller (Article 18 GDPR);
    e. receive and transfer personal data in a structured, commonly used format, in the case of data provided to the controller and processed based on consent (Article 20 GDPR);
    f. object at any time – for reasons related to your particular situation – to the processing of your personal data based on the basis indicated in Article 6(1)(f) GDPR. In such a case, we will not process your personal data for these purposes unless there are compelling legitimate grounds for such processing that override your interests, rights, and freedoms, or there are grounds for establishing, pursuing, or defending claims;
    g. object at any time to the processing of your personal data when your personal data are processed for the purposes of direct marketing – in this case, we will not process your personal data for such purposes;
    h. file a complaint with the supervisory authority if you believe that the processing of your personal data violates GDPR provisions. The supervisory authority in Poland is the President of the Office for Personal Data Protection (PUODO), located in Warsaw, ul. Stawki 2.
  10. Your personal data will not be transferred outside the European Economic Area or to international organizations.
  11. Your personal data will not be processed in an automated manner, including profiling.
  12. Providing your personal data is voluntary, but necessary for participation in the conference.

§9 COMPLAINTS

  1. Any complaints by Conference Participants against the Organizer should be submitted in writing via the email address office@sprin.tech or to the Organizer's registered address and should include: the complainant’s full name, correspondence address, email address, telephone number, subject of the complaint, date of the event, and details justifying the complaint.
  2. Conference Participants may submit complaints no later than three days following the end of the Conference.
  3. After the above deadline, no complaints will be considered.
  4. Complaints that do not include the elements specified in point 1 will be left unreviewed by the Organizer after prior request to the Participant via email to complete the information.
  5. The Organizer will review the complaint within 14 working days from the date of submission and will communicate its position to the complainant in the same format as the complaint was submitted.
  6. In the case of a justified complaint, the Organizer will refund the Conference Participant for the costs incurred related to participation in the Conference (as defined in §5 point 1 of the Terms and Conditions). The refund will be issued to the bank account specified by the Participant in the correspondence related to the complaint.
  7. Conference Participants who are consumers have the option to use out-of-court methods for complaint resolution and claims. Detailed information on out-of-court complaint and claims procedures and rules for accessing these procedures are available at the offices and websites of district (municipal) consumer advocates, social organizations dedicated to consumer protection, Regional Trade Inspection Offices, and on the website of the Office of Competition and Consumer Protection (www.uokik.gov.pl). Conference Participants who are consumers may also use the online dispute resolution (ODR) platform available at http://ec.europa.eu/consumers/odr.

§ 10. FINAL PROVISIONS

  1. The Organizer makes the Terms and Conditions available to Participants.
  2. The Organizer reserves the right to make changes to the Terms and Conditions.
  3. Matters not covered by these Terms and Conditions shall be governed by the relevant provisions of the Civil Code.
